    Title: Office & Development Coordinator

    Reports to: Executive Director/Development Manager

    FLSA status: Non-exempt

    Schedule: Full Time (40 hours per week)

    Compensation: $22 - $24/hr

    Position Summary

    The Office & Development Coordinator plays a central role in advancing Comfort Food Community’s 

    mission by providing essential administrative and development support to ensure smooth daily 

    operations and effective donor engagement.

        The Coordinator manages core office functions, maintains organizational systems, and supports staff, 

    volunteers, and community partners. On the development side, the role contributes to fundraising 

    activities by maintaining donor records, preparing acknowledgments, and supporting events and 

    campaigns.

        This is a highly collaborative position requiring strong organizational skills, attention to detail, comfort 

    with technology, and the ability to communicate clearly with a wide range of stakeholders. The Office & 

    Development Coordinator ensures that internal operations run efficiently and that external relationships 

    with donors, volunteers, partners, and community members are supported with professionalism and 

    care.

    Essential Duties and Responsibilities

    Office & Administrative

    • Manage day-to-day office operations, including tracking and ordering supplies, handling incoming and outgoing mail, and completing general administrative tasks.
    • Answer the main phone line and direct callers to the appropriate staff member.
    • Serve as a friendly, professional point of contact for visitors and community members.
    • Provide exceptional customer service by using critical thinking and problem-solving to address inquiries or route calls appropriately.
    • Monitor, manage, and maintain office equipment and supplies; request repairs or restocking as needed.
    • Maintain a calendar of employee birthdays, anniversaries, and other milestones.
    • Provide support to the Executive Director including but not limited to Board and committee meetings, Board onboarding, etc. 

    Development

    • Maintain, update, and add donor records in the CRM/database with accuracy and confidentiality.
    • Enter donations into the CRM/database and prepare timely, accurate, and personalized acknowledgment letters.
    • Scan, file, and upload donor records into the CRM/database.
    • Support annual fundraising campaigns, including mailings, donor outreach, and reporting.
    • Conduct prospect research on donors, sponsors, and grant opportunities as needed.
    • Assist with donor and volunteer stewardship.
    • Solicit raffle items or in-kind donations as part of the development plan.
    • In coordination with the Financial Operations Specialist, reconcile CRM/database records with QuickBooks.
    • Provide support for friendraisers.
    • Organize and coordinate tour invitations, reminders, and thank-you communications.
    • Identify, set up, and support tabling opportunities.
    • Assist in planning and executing fundraising events, community programs, and volunteer activities.
    • Coordinate event logistics such as registration, materials, vendor communication, and volunteer support.
    • Provide on-site support during events, including setup, breakdown, and guest engagement.

    Other

    • Provide cross-programmatic support to all departments and programs, as needed.
    • Perform other duties as assigned.

    Qualifications

    • Strong organizational and time-management skills with excellent attention to detail.
    • Clear and professional written and verbal communication skills.
    • Comfort with technology, including Microsoft Office and CRM/databases.
    • Proficiency in Microsoft Office applications (especially Word and Excel) and the Microsoft 365 environment, including Teams.
    • Ability to work independently and collaboratively in a fast-paced, mission-driven environment.
    • Ability to enter accurate records and maintain thorough documentation.
    • Strong interpersonal skills and the ability to build positive relationships.
    • Ability to meet deadlines and manage multiple tasks simultaneously.
    • Skilled in problem-solving and navigating complex situations with multiple variables.

    Work Environment

    • Work will be done on-site.
    • Standard office environment with occasional lifting up to 25 lbs.
    • Office hours are generally Monday to Friday from 8:30 AM to 4:30 PM. Occasional evening or weekend hours for events or community programs.
    • Ability to travel locally for meetings, events, or program support.
