We are seeking a friendly and organized Office Assistant to join our team! The Office Assistant serves as the first point of contact for visitors and callers, works closely with volunteers, and supports office operations. The candidate shall possess an associate degree related to human services, or have 3 more years of experience related to the support of the daily activities of a non -profit human service agency. Must have experience in using computer programs for data entry, reporting and other office operations. The ideal candidate is compassionate, organized, and is able to work with people experiencing stress or challenging life circumstances. Confidentiality is essential.
Responsibilities
1.Maintain daily activities of the agency such as greeting visitors, answering phones, and supporting volunteers in providing food pantries, personal items and clothing distribution services. Inspect and register in-kind donations.
2. Collect and document information from clients requesting assistance with daily services and direct other assistance cases to appropriate staff.
4. Maintain food pantry inventory, perform shelf stocking and organizing, and prepare monthly food orders. Organize all donations to the food pantry based on safety measures.
5. Work with volunteers and staff with monthly food delivery including unloading and loading boxes of food, and stocking the pantry shelves. Must be able to lift up to 30LBs.
6. Organize recipe and meal prep tip sheets based on produce and food received from food bank, gleanings and Comfort Food Community programs.
7. Participate in organized community outreach events.
8. Assist with basic maintenance and cleaning of office equipment (computers, printers, phones, kitchen appliances) and general cleaning of office areas.
9. Attend trainings that support the services we provide.
10. Assist in other duties as assigned by Executive Director.
Qualifications- Experience in an office environment of a nonprofit agency.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications with experience in confidential data entry and documentation.
- Strong communication and listening skills; bilingual abilities are a plus.
- Experience with working in budgets related to grants and donations.
- Ability to manage time effectively in a fast-paced setting while maintaining a friendly and helpful attitude.
Pay range: $17.00 - $19.00 per hour Monday – Friday at 30 hours to start.
